The challenges

The Australian Dental Council (ADC) plays a pivotal role in safeguarding public health by ensuring dental practitioners in Australia meet rigorous professional standards. A key aspect of this responsibility involves the annual monitoring of accredited dental programs to maintain high educational standards. Historically, this process was manual and cumbersome, relying on varied data submissions from practitioners, often in the form of excel spreadsheets. This approach not only made data collection and analysis labour-intensive but also increased the potential for errors.

Variations in data formats made standardisation challenging, requiring significant effort in validation and analysis. Managing the process manually was time-intensive, and with multiple stakeholders involved in assessments, coordination could sometimes be complex. While this approach served its purpose, it presented opportunities for improvement.

Recognising the need for a more efficient and streamlined solution, the ADC explored various options, including data cleaning services. Ultimately, they selected Qualtrics for its comprehensive data insights capabilities and partnered with Act XM, to develop a sophisticated and effective solution tailored to the ADC’s specific requirements.

The solution

Act XM collaborated closely with the ADC to develop a bespoke digital program within Qualtrics, addressing the unique challenges of their annual monitoring program.

  • Advanced survey settings: Features such as visible timeframes, progress tracking, and a save function allowed multiple stakeholders to contribute to their relevant sections, improving completion rates.
  • Automated dashboards: Role-based dashboards provided real-time insights, enabling senior management to make informed decisions promptly.
  • Comprehensive end-of-assessment reports: Participants received detailed summaries of their responses, facilitating transparency and easy record-keeping.
