The challenges
SYC is a national, not-for-profit organisation operating in South Australia, Victoria, New South Wales, and Queensland. Established in 1958 to support disadvantaged youth, SYC has since expanded its services to support people of all ages, offering assistance in housing, education, and employment.
In 2024, SYC began delivering support services to Australian apprentices. A key aspect that sets SYC apart from other providers is its unique service integration offer of wrap around support to apprentices and employers, allowing SYC to pioneer a holistic approach to supporting apprentices, ensuring they receive the comprehensive support needed for success.
To provide holistic support SYC has designed an evidence-based ‘Readiness Assessment’, which identifies the challenges apprentices face and provides tailored solutions. Recognising that they required more nuanced data than what they could generate internally, SYC sought external expertise for this project. Based on a successful partnership with Act XM previously with their platform implementation, SYC turned to us for our technical expertise and holistic approach to program design.
The solution
Act XM collaborated with SYC to enhance their ‘Readiness Assessment’ that evaluates three key areas – readiness, attitude, and personal well-being. The program included sophisticated backend calculations to provide detailed, actionable insights, allowing SYC to offer personalised support to apprentices.
Previously, SYC case officers relied on an overall score for all responses. Act XM’s solution now provides a detailed scoring system in the three areas evaluated in the ‘Readiness Assessment’:
- Readiness Assessment: This score helps SYC determine if an apprentice is ready to undertake an apprenticeship and identifies the specific support needed.
- Attitudinal and Needs Assessment: This evaluates an apprentice’s attitudes and life circumstances. If responses reach a certain threshold, then further support is provided.
- Personal Well-being: This assesses an apprentice’s well-being, and if a certain threshold is reached, the apprentice is automatically referred for additional assistance.
In addition to these areas, the assessment gathers insights on skills, experience, and expectations, further enriching the support SYC can offer.
The impact
The assessment deployment process was streamlined with unique links for each apprentice and clear, action-oriented reports sent directly to Field Officers’ inboxes, saving time and improving efficiency. The new system has also simplified onboarding for new Field Officers by eliminating the need for extensive platform training. This enhancement not only improves operational efficiency but also results in better outcomes for apprentices, ensuring they receive the right support faster.
Feedback for the ‘Readiness Assessment’ has been overwhelmingly positive, with stakeholders praising the new system’s efficiency from deployment to action-taking. By leveraging aggregated results and analysis, SYC aims to gain earlier indicators of apprentices’ needs, allowing them to intervene sooner and enhance the overall apprentice journey.
